Privacy policy

This policy covers Karstoft bogføring, an internal tool operated by Karstoft Holding ApS (CVR 29011745, Egernvej 49, 2000 Frederiksberg, Denmark), the data controller.

Whose data

The tool only processes the company's own data: its bank transactions, receipts and invoices from suppliers, and its bookkeeping in Visma e-conomic. Receipts may contain names and contact details of suppliers' staff or the owner.

Purpose and legal basis

The data is processed to keep the company's books, which is required by the Danish Bookkeeping Act (bogføringsloven). Legal basis: legal obligation and legitimate interest (GDPR art. 6(1)(c) and (f)).

Where data is processed

• On the owner's own computer, where the tool runs and keeps a local record.
• Visma e-conomic, the company's accounting system.
• Enable Banking (read-only access to the company's bank account) and Google Gmail (the owner's mailbox).
• Anthropic (Claude AI), which processes transaction and receipt details to match receipts and suggest accounts. Data is not used to train AI models.

Data is not sold or shared with anyone else.

Retention

Bookkeeping material is kept for 5 years after the end of the financial year, as required by law. The local record is deleted after the same period.

Your rights

You may request access, correction or deletion of personal data about you, within the limits of the bookkeeping obligation, by writing to jkarstoft@gmail.com. You can complain to Datatilsynet (datatilsynet.dk).
